How to use this resource

Try the made-up example or describe your own business in the boxes. Review the brief it builds, then copy it into your AI conversation alongside the job you want help with.

Keep it about your business, not your customers. Your brief is saved in ChatGPT and used in every chat, so leave out customer names, private details and anything you wouldn't put on your website.

These boxes show an example florist so you can see how it works.
1. Your business
2. How you sound

Pick up to three words that describe your voice.

3. Your words
4. Your rules
5. Something you've written

Save your brief in ChatGPT

Pick one of these. The first one is the easiest and works on the free plan.

  1. Custom instructions (easiest)In ChatGPT, open Settings › Personalisation, find custom instructions, and paste your brief. ChatGPT then uses it in every new chat.
  2. A project for your businessCreate a new project called your business name and paste the brief into the project's instructions. Every chat inside that project uses it, and your other chats stay separate.
  3. Paste it at the start of a chatNo setup at all. Paste the brief, then ask for what you need. Handy for trying it out before you save it anywhere.

Menus change as ChatGPT updates. If a setting isn't where this says, search the ChatGPT help centre for its name.

Then

Test it

Try these three prompts with your brief saved. If something sounds off, update the brief, not each post.

Test 1A post

Write an Instagram caption about [something happening in your business this week].

Test 2A customer reply

A customer asked: [paste a question, with any names removed]. Write my reply.

Test 3The honest check

Read my brand brief again. Based on it, what's missing that would help you write more like me? Ask me up to five questions.
What just happened

You stopped explaining yourself in every chat. The brief does it for you, so you spend your time editing good drafts instead of fixing generic ones.

Clean Copy · Paid privacy tool

Before the next copy and paste,
keep people’s details private.

Customer emails, booking lists and business notes can contain names, contact details and sensitive information. Clean Copy runs on your own computer and helps replace private details with labels before you use AI.

You review the clean version, paste it into your AI tool, then restore the real details in the reply. If you use AI regularly for customer work, it gives you a repeatable step instead of manually changing the same details each time.

No checker catches everything. Always read the clean version and consider the remaining context. Windows or Mac computer. Current price on Payhip.
