Stepping back without your business stopping

Maternity leave, school holidays, surgery, a sick week or a long-overdue break. When you are the business, stepping back feels impossible. This toolkit uses ChatGPT to do most of the planning, writing and organising, so you can actually switch off.

  1. 1Make your plan
  2. 2Tell your customers
  3. 3Keep things ticking
  4. 4Build an emergency kit
  5. 5Plan your return

Unplanned break right now? Skip straight to module 4, the emergency kit. It has messages you can send today.

Module 1 of 5

Start 4 to 8 weeks before

Make your step-back plan

Most business owners never take a proper break because they try to plan it all in their head. Get it out and onto paper, and it suddenly looks doable.

Start here

Prompt 1Build your plan

I run a small business: [what you do]. I'm stepping back from [start date] to [end date, or "about X weeks"] because of [maternity leave / school holidays / surgery / a break]. During that time I can work about [0 / a few / X] hours a week. Here's everything I do in a normal week: [list it all, messy is fine]. Sort every task into four groups: keep doing (and how to make it smaller), pause, hand to someone else, and automate. Then turn it into a simple plan with what I need to set up before I go.

Prompt 2Work out the money side

While I'm stepping back, my income will drop to about [amount or percentage]. My regular costs are [list them]. Help me work out which costs I can pause or reduce, which income I can keep coming in (subscriptions, digital products, bookings for when I'm back), and a few questions I should ask my accountant.

Prompt 3School holidays version

School holidays run from [date] to [date] and I'll have [number] kids at home aged [ages]. I can realistically work [hours] a week, mostly [early mornings / nap times / evenings]. Plan my business tasks around this, protect my three most important jobs, and tell me what to move to after the holidays.

Having a baby? Self-employed parents may be eligible for the government's Parental Leave Pay. Check with Services Australia early, as there are work tests and timing rules.

What just happened

You turned a vague worry into a list with four piles. The "automate" pile is where most people find hours they didn't know they had.

Module 2 of 5

Tell your customers

Customers are far more understanding than you expect, as long as they hear it from you early and know exactly what to expect.

Prompt 4The announcement

Write a warm, short announcement for my customers saying I'm stepping back from [date] to [date] for [reason, share as much or as little as you like]. Tell them what's still available ([e.g. online orders, gift cards, bookings for when I'm back]), what's paused, and how to reach someone if it's urgent. Give me an email version and a shorter Instagram caption.

Prompt 5Your auto-reply

Write an out-of-office reply for my business email and a matching auto-reply for Instagram and Facebook messages. I'm away from [date] to [date]. Say when I'll reply, where they can find answers in the meantime ([website / FAQ / booking page]), and who to contact for anything urgent. Keep it friendly and under 80 words.

Prompt 6When a regular asks for an exception

A loyal client has asked me to [squeeze them in / reply to something / do a job] while I'm on my break. I want to say no kindly and keep the relationship. Write a short, warm reply that holds my boundary and offers [an alternative, e.g. first booking when I'm back].
What just happened

You told people what's happening before they had to ask. Clear and early beats apologetic and late, every time.

Module 3 of 5

1 to 2 weeks before

Keep the business ticking

You don't have to disappear completely. A little preparation keeps your business visible and your customers looked after while you're away.

Prompt 7Batch your content

I'll be away for [number] weeks and want to post [number] times a week. My business is [what you do] and my customers are [who]. Plan the posts for the whole time I'm away: a mix of helpful tips, behind the scenes, reminders of what's still available, and one post about my return. Write every caption so I can schedule them all now.

Prompt 8A handover note for your helper

[Name or role, e.g. my VA / my partner / a fellow business owner] will look after [specific jobs] while I'm away. Write a clear handover note that explains each job step by step, what to do if something goes wrong, what can wait until I'm back, and when (if ever) to contact me. Here's how I do each job now: [describe it].

Prompt 9Ready-made answers

Here are the questions customers ask me most: [list them, no names]. Write a short, friendly answer to each that my helper (or my auto-reply) can use while I'm away. Mark anything that needs my decision with [WAIT FOR ME].
AI is great for
  • Planning and lists
  • Announcements and auto-replies
  • Batching content
  • Handover notes
Keep these with you
  • Money and pricing decisions
  • Personal news with long-time clients
  • Choosing who to trust with your business
  • Deciding when you're ready to come back
What just happened

Your business will keep showing up while you rest. That's the difference between a break and a business that stops.

Module 4 of 5

Do it now, use it when you need it

Build your emergency kit

Not every break is planned. A sick child, a family emergency or your own health can take you out overnight. Twenty minutes now means one less thing to panic about later.

Start here

Prompt 10Your "if I'm suddenly out" page

Help me create a one-page emergency plan for my business, [what you do], in case I'm suddenly unable to work for a few days or weeks. Include: who to contact and what to tell them, which bookings or orders need action, where things are kept (describe locations only, never actual passwords), what can simply wait, and a checklist someone I trust could follow.

Prompt 11Messages ready to send today

Write three short messages I can send customers at short notice: 1) I need to reschedule today's appointments because of a family matter, 2) I'm unwell and will be back in about a week, 3) I'm stepping back for a while and will update you soon. Keep each one warm, brief and private (no oversharing).

Keep passwords out of ChatGPT and out of your plan. Store them in a password manager and share access with one trusted person.

What just happened

You made a plan you hope you'll never need. Knowing it's there is its own kind of calm.

Module 5 of 5

The week before you return

Plan your return

The best comebacks are gentle ones. Plan the first week before you're in it, so you ease back in instead of drowning.

Start here

Prompt 12Your first week back

I'm coming back to my business on [date] after [number] weeks away. I'll have about [hours] a week to start with. Here's what's waiting: [emails, orders, bookings, anything you know about]. Plan a gentle first week that deals with what's urgent first, builds back up slowly, and protects some time for me.

Prompt 13The "I'm back" announcement

Write a short "I'm back" email and Instagram caption for my business. Thank customers for their patience, share what's new or open for booking, and include [a welcome-back offer, if you want one].

Prompt 14A letter to your future self

Before my break, I want to write a note to read on my first day back. Ask me five questions about what I'm proud of, what I'm worried about and how I want my business to feel when I return. Then turn my answers into a kind, encouraging letter.

Prompt 15What did the break teach me?

While I was away, these things kept running without me: [list them]. These things fell apart or piled up: [list them]. What does this tell me about what to automate, hand off or stop doing for good?
What just happened

You came back with a plan and some kindness for yourself. And you learned exactly which parts of your business can run without you, which is useful information every single day.
